Job Description
Purpose of the Role
The Admin Officer will play a key role in ensuring the smooth and efficient running of daily office operations. This position supports the wider team by handling administrative tasks, coordinating office activities, managing information, and providing excellent organisational support. The ideal candidate is proactive, detail‑oriented, and able to juggle multiple priorities in a busy environment.
Working in a Charity Environment
The post-holder will be expected to:

Although you will report to the Operations Director, you will also support CEO, other managers and staff from the Senior Leadership Team.
Key Responsibilities
Administrative Support
Manage day-to-day administrative tasks, including filing, scanning, printing, photocopying, data entry, and document preparation.
Maintain office calendars, schedule meetings, and coordinate staff training.
Prepare reports, minutes, and correspondence as required.
Manage communication professionally, including post, telephone, emails, accepting visitors, and raising issues with building manager.
Office Coordination
Ensure the office environment is well-organised, presentable, and fully stocked (supplies, equipment, stationery).
Liaise with suppliers, service providers, and contractors.
Oversee office maintenance issues and coordinate repairs.
Update equipment inventory, and logistics for internal/external meetings, room booking, preparing for and managing events and maintaining accurate logs.
Taking minutes at meetings and events (online and face to face)
Operations Support
Support onboarding of new employees (creating profile accounts, preparing welcome packs, coordinating inductions).
Support off boarding of employees leaving (scheduling exit interviews, inventory, resetting password and access to IT systems).
Assist with HR administration such as maintaining staff records and updating internal databases e.g. sick leave, annual leave and timesheets, rota.
Collecting post and filling paperwork.
Process expense forms, purchase orders, and basic bookkeeping entries (if applicable).
Manage petty cash and day to day office expenses.
Support finance management by downloading invoices, keeping track on payment plans, and schedules.
Manage confidential information with discretion and integrity in line with GDPR.
Develop and maintain information systems in accordance with GDPR regulations to ensure data is processed, stored, retained and deleted in accordance with GDPR and our data protection policy.
Maintain safeguarding logs, training records, and ensure staff/volunteers meet compliance requirements.
Person Specification
Skills & Experience Required
Essential Criteria
A minimum of two years’ experience in an administrative or similar role, or demonstrable transferable skills clearly evidenced in the application.
Strong working knowledge of ICT systems, including Microsoft 365 applications (Admin Portal, OneDrive, Outlook, Word, Excel, and PowerPoint).
Experience of basic IT troubleshooting and providing first-line system support.
Excellent written, verbal, and interpersonal communication skills.
Strong organisational and multitasking skills, with the ability to manage competing priorities and meet deadlines.
Ability to use initiative and work both independently and collaboratively as part of a team.
A proactive and solution-focused approach to problem-solving, with sound decision-making skills.
A methodical approach to work, with a high level of accuracy and attention to detail.
Understanding of confidentiality, safeguarding principles, and working with vulnerable groups.
Strong interpersonal skills, with the ability to communicate sensitively and respectfully with service users from diverse backgrounds.
Ability to work effectively in a mission-driven environment, often with limited resources.
Willingness to work flexibly in response to changing organisational needs.
DBS Basic clearance (or willingness to obtain).
Advanced knowledge of Microsoft Excel (e.g.formulas, tracking, data analysis).
Experience of iimproving or streamlining administrative processes or systems.
Previous experience working within a charity, public sector, or regulated environment.
Experience supporting operations, HR, or finance functions.
Knowledge of basic financial administration.

Stage 2: Interview Process
Shortlisted applicants will be invited to attend a face-to-face interview on Monday 15 June or Tuesday 16 June 2026.
The interview will comprise of IT based exercise and a face to face interview.
